QR Codes for Events & Conferences

Print the badges early. Finalise the agenda later.

Badges, standees, and brochures go to print weeks ahead — but the schedule they open stays editable until the event is over. A code per session, routed by day, measured by placement.

Where the codes go

Everything you already send to print

An event is a huge, expensive, single-use print run. Dynamic codes are what stop it going stale before the doors even open.

Badges & lanyards

Agenda, speaker profile, or feedback form on the thing every attendee already wears.

Standees & hall signage

One per hall, showing the session running in it right now.

Brochures & programmes

Floor plans, speaker bios, and sponsor pages that stay editable after printing.

Stalls & wayfinding

Exhibitor pages, venue maps, and directions attendees can open one-handed.

Before the signage order

Live in 4 steps

Your signage vendor receives ordinary SVG, PNG, or PDF files. Nothing about their process changes.

1

Create the event

Group everything under one project so the whole team works from one set of codes.

2

Generate the set

One code per session, hall, or stall — in a single range pass, not one at a time.

3

Send signage to print

SVG and PNG per code, or the whole set as a PDF grid. Decode-tested before it ships.

4

Edit live, measure live

Change a cancelled session's destination mid-morning and watch scans per placement as they arrive.

Everything included

Built for a schedule that keeps moving

Every feature here exists because something changed after the signage was already on a truck.

Print early, finalise late

Send brochures and standees to print weeks ahead. Keep editing the agenda they open until the morning of the event — and during it, when a speaker cancels.

A code per session or stall

Generate the whole set across a numbered range in one pass, each labelled and independently trackable, then export as one PDF grid for the signage vendor.

Day one, day two, same standee

Time-window routing in your timezone means one printed code shows today's programme today. Nobody walks the venue swapping posters at midnight.

Which signage actually worked

Scans per placement, with device, city, and time-of-day breakdowns and a live feed you can watch during the event. Budget next year's signage on evidence.

Venue Wi-Fi in one scan

A Wi-Fi QR joins attendees to the network without reading an SSID off a whiteboard or queueing at the registration desk to ask.

Add-to-calendar and maps

Calendar-event and location QR types put your session in an attendee's diary or open the venue on their map app, straight from the badge.

A team that can all edit

Invite the programme team as editors and sponsors' contacts as viewers. Every sensitive change is recorded in an audit log.

Points at your ticketing, not around it

Keep the registration platform you already use. A QRoute code simply opens it — and you can repoint it at next year's when this year is over.

How an event actually runs

From print order to post-event report

  • 6 weeks out

Brochures, badges, and standees go to print. The agenda is still a draft, and that is fine — the codes are already stable.

  • 1 week out

Two speakers change and a hall is swapped. You edit destinations; nothing is reprinted.

  • Event morning

Day-one routing takes over automatically. The Wi-Fi code at the desk does the work of three volunteers.

  • Mid-event

A session is cancelled at 11am. Its code is repointed to the replacement before the hall fills. The live feed shows it working.

  • After

Codes are paused or repointed at next year's registration. Scan history is kept for the post-event report.

Loved by organisers

What event teams say

We print 2,000 badges six weeks out and the agenda is never final at that point. Last year a keynote dropped out two hours before the session — we repointed that code and nobody in the hall knew there had been a problem.

The per-standee scan numbers changed how we budget signage. Two placements near the entrance did most of the work and four in the back corridors did almost nothing. We moved them this year instead of guessing again.

FAQ

Common questions

Our agenda always changes after the brochures are printed. Does that matter?
No longer. The printed code encodes a short URL that never changes, so you can print brochures and standees weeks early and keep editing the schedule they open right up to the morning of the event — and during it.
Can we generate a separate code for every session or stall?
Yes. Use range mode to create a code per session, hall, or stall number in one pass, each with its own label and destination, then export the whole set as a print-ready PDF grid for your signage vendor.
Can a code show a different agenda on day one and day two?
Yes. Routing rules can match a date and time window in your organization's timezone, so one printed code on a standee shows Tuesday's programme on Tuesday and Wednesday's on Wednesday, with no one swapping any signage.
Is QRoute a ticketing or registration platform?
No, and we would rather say so plainly. QRoute generates and routes the QR codes on your printed material and reports the scans. Ticketing, registration, and attendee check-in stay with whatever platform you already use — you simply point a QRoute code at it.
What can an event code actually open?
A web page such as your agenda or a speaker's profile, a PDF like the floor plan or programme, an image gallery, an add-to-calendar event, a location on a map, or the venue Wi-Fi network. Each is a supported QR type.
Can we tell which signage is working?
Yes. Every code is measured separately, so scans by standee, hall, or stall tell you which placements earned attention and which were ignored — with device, city, and time-of-day breakdowns and a live feed during the event itself.
What happens to the codes after the event ends?
Pause them, schedule an expiry, or repoint them at next year's registration page. Codes on printed material you cannot recall never become dead links, and the scan history is kept when a code is archived.
Do attendees need to install anything?
No. Any phone camera opens the destination in the browser. There is no app and no account, which matters when a hall of attendees is scanning at the same moment.
